1. Managing Daily Documentation Tasks#

  • Ensuring Workflow Continuity: A Production Specialist in Site Survey is responsible for managing daily tasks related to collecting, organizing, and updating electrical schematics and P&IDs. They ensure that every document is accounted for and digitized as part of the Site Survey process.

  • Completing Documentation: The Production Specialist ensures that tasks such as document collection, scanning, and categorization are handled efficiently, keeping the documentation process moving smoothly and on schedule.

2. Ensuring Data and Document Accuracy#

  • Maintaining Documentation: The Production Specialist is tasked with reviewing and verifying the accuracy of collected drawings, ensuring they are correctly categorized and digitized. They work closely with on-site teams to confirm the documentation’s completeness.

  • Organizing Files: They are responsible for maintaining digital versions of all drawings, ensuring they are saved in the correct format and organized within the Site Survey’s structured online repository for easy access.

3. Maintaining Quality Control#

  • Performing Quality Checks: The Production Specialist ensures that all scanned and collected documents meet the required quality standards, ensuring clarity and accuracy before they are approved for digitization and reprinting.

  • Document and Drawing Reviews: They are responsible for reviewing documents for completeness, verifying that all relevant P&IDs and electrical schematics are captured, scanned, and categorized correctly.

4. Supporting the Production Manager#

  • Executing the Plan: The Production Specialist works with the production manager to execute the documentation plan, ensuring that all daily tasks related to the collection, digitization, and organization of drawings are completed on time.

  • Handling Details: While the production manager oversees the project, the Production Specialist manages the day-to-day tasks, ensuring each document is correctly processed and organized.

5. Ensuring File Naming and Organization Consistency#

  • Standardizing Files: The Production Specialist ensures that all digitized files and scanned documents follow the prescribed file naming and categorization standards, making it easy for teams to find and reference documents when needed.

  • Organizing Files: They ensure that files are labled correctly in the manifest (e.g., by name, desciption, location, and status). All files are to be placed in correct directory (e.g. /id, /scannedDocument, /images, /controlPanelSchematics, ect)

6. Managing Document Reprints#

  • Finalizing Reprints: The Production Specialist is responsible for coordinating the reprinting of collected documents, ensuring that reprints are of high quality and installed in the correct control panels.

  • Tracking Completion Status: They maintain updated logs on document reprints and installation statuses, ensuring the team is aware of progress and any pending tasks.

7. Supporting Project Continuity#

  • Ensuring Consistency: The Production Specialist ensures that the entire documentation process is consistent from start to finish, allowing for smooth transitions between phases of the project and ensuring that all documentation is properly archived and accessible.

Production Specialist Daily Tasks#

  1. Update the Documentation Spreadsheet:

    • Ensure all new electrical schematics, P&IDs, and control panel documents are added to the relevant Excel spreadsheets, with correct fields (e.g., PanelID, DocumentType, Completion Status).

  2. Verify Document Locations:

    • Check that all physical and digital documents (schematics, P&IDs) have unique IDs and are saved in their designated directories (e.g., /Electrical_Schematics, /P&IDs, /Control_Panels).

  3. Save Files in Correct Formats:

    • Confirm that all scanned and electronic files are saved in PDF format in the appropriate directories (e.g., /controlPanelSchematics/PDF).

  4. Check Documentation Completion Status:

    • Review the completion status of each document (e.g., Physical Documentation Collected, Digitized, Categorized) and update the spreadsheet accordingly.

  5. Ensure Proper Document Formatting:

    • Ensure all documents (schematics, P&IDs) are formatted according to Exact Services standards.

  6. Ensure Consistency in File Naming and Organization:

    • Check that all file names follow the prescribed format (e.g., PanelID_DocumentType_Revision) and that documents are saved in the appropriate directories for easy retrieval.

  7. Install and Update Physical Documentation:

    • Ensure that printed copies of updated documents are reinstalled in the control panels and their locations are accurately recorded.

  8. Support Ongoing Documentation Updates:

    • Assist in updating the system with new or revised documents, ensuring they are categorized, filed, and ready for reprinting or digital access as needed.
